What we store when you report an issue

Category and subcategory, your description, the location as coordinates and — if you use the address search — the selected address, the time, the chosen language, and up to three photos if you attach any. The legal basis is our legitimate interest in recording issues in the city and passing them on to the responsible authorities (Art. 6(1)(f) GDPR).

Please do not name people or describe individuals in your description. This is about the issue, not about people.

Photos

Uploaded images are re-encoded on our server. In doing so we automatically remove all metadata, in particular GPS coordinates and device details. The original is not stored. Images are kept outside the publicly accessible area and can only be retrieved from the admin area.

IP address

To protect against abuse and mass submissions we do not store your IP address in plain text, only as a salted hash. The original address cannot be derived from it. Plain-text IP addresses are not logged either. The legal basis is our legitimate interest in a functioning service protected against abuse (Art. 6(1)(f) GDPR).

Map and address search

The map view loads map tiles directly from servers of the OpenStreetMap Foundation (United Kingdom). The OpenStreetMap Foundation therefore learns your IP address — this cannot be avoided technically when loading maps directly. An adequacy decision of the European Commission is in place for the United Kingdom. The address search, by contrast, runs through our own server: your IP address is not passed on, only the search term.

Spam protection

Before submitting, your browser solves a small computational task. The software required for this is hosted on our own server; no data is transmitted to third parties and no usage behaviour is recorded.

Cookies

We set only technically necessary cookies: your language choice and — in the admin area only — a session cookie for signed-in staff. There are no tracking cookies, no third-party cookies and no analytics tools. That is why we do not ask you for cookie consent.

Hosting

The application runs on servers of Mittwald CM Service GmbH & Co. KG in Germany. A data processing agreement is in place with the provider.

Passing on to authorities

If we forward a report to the police, the public order office or street cleaning, that message contains only the reported issue, the location, the time and any photos. Your email address and the hash of your IP address are never passed on.

Status link

After submitting you receive a link containing a random string. Anyone who knows this link can see the progress of your report — but neither photos nor the exact address. Please do not share the link.

Public overview of reported issues

The start page shows a map and a list of issues that have already been reported. Only reports that our team has individually reviewed and approved appear there — and only with category, processing status, submission date and location. Your description, your photos, your email address and your reference number are never published. The legal basis is our legitimate interest in showing transparently where issues have been reported (Art. 6(1)(f) GDPR).

Retention

We delete reports in full, including photos, no later than six months after processing is complete.

Your rights

You have the right to access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interest (Art. 21). Please contact the address above. To let us identify a report, please have your reference number ready.

Right to complain

You may lodge a complaint with a data protection supervisory authority (Art. 77 GDPR), for example the State Commissioner for Data Protection of Lower Saxony.
